As the construction project coordinator, you will be an integral part of the construction team to ensure purchasing documents are issued in a timely fashion, invoices and payments are processed, and projects are closed out upon completion. This role includes strategic initiatives coupled with day-to-day tactical execution, maintaining the highest quality while administering critical tasks for project completion. In this position, you will interact with commercial and multifamily project managers and will have coordination and accounting responsibilities for several highly visible projects. You will support the team by handling all coordination duties as well as accounts payable and clerical functions. You will also provide accounting and reporting as it relates to construction projects.
We are seeking an organized, self-starting individual with a keen sense of understanding for the needs of project managers, project completion, and deadlines.
Responsibilities:
- Provide monthly draw packages to Owners
- Manage subcontractor billing and processing
- Process invoices and enter information into TimberScan/Titanium
- Reconcile lien notices
- Oversee project closeouts including retainage pay apps and submission of warranty letters, O&M manuals, as-builts, etc.
- Prepare budgeting and cost reports
- Responsible for subcontractor document control such as W-9s, insurance, lien notices
- Responsible for the project set up
- Coordinate contracts, purchase orders, change orders as well as issuance and tracking
- Analyze tasks and take appropriate action to progress projects in a timely fashion
- Update plan logs
- Communicate routinely with the Project Management team on a variety of project-related topics such as insurance, payment applications, invoices, draws, etc.
- Be a team player and help with other things as needed.
- 3+ years of construction experience
- Experience working in accounting, strongly preferred
- Timberline, Intacct, GC Pay, Timberscan, & Procore experience a plus
- Proficient in Microsoft Office.
- Strong project coordination and organizational skills
- High sense of urgency to complete tasks
- Strong written and oral communication skills and effective listening skills.
